The Chancellery is a subdivision of the SUPES subordinated directly to the administration and is responsible for performing permanent specific secretariat work.
The main functions assigned to the Chancellery are: information processing documentation; representation and filter functions. It also has the functions for contact requirements with the administration and direct management assistance.
Chancellery staff accomplishes a great complex of activities:
- performing of general registry: sorting, receiving, dating and delivering the correspondence, received and issued by the administration, reading the incoming mail (except confidential, nominated) its handing over to the administration;
- registration, delivering and watching the indicated terms of solving the received correspondence, elaboration of responses based on preliminary documentation, typing them, presenting them for signing, preparation and delivering of correspondence by organizing the courier’s activity or sending it by other ways (fax, email etc.);
- arranging on bookshelves or in maps the incoming or outgoing correspondence together with the documents of response and their annexes;
- classifying of documents, organization and assuring of archives subdivisions good functions;
- multiplication of materials, typing, copying, processing and doing the stenography of the texts;
- organizing of information system with circular character: receiving, processing and sending of information, dissemination of decisions and instructions within the university.
The objective of the subdivision is to enhance the quality, productivity and flexibility of secretariat work by automatization of activities related to the introduction, processing, storing and extraction of the information.
Chancellery staff also provides correct elaboration, styling and edition of processed data, deals with the evidence of delegations and official business trips of the university employees and events concerning their profession.
Special attention is paid to the tasks and indications, stipulated in the registered acts, to the integrity, security and confidentiality of documents, information or other data used in conducting the SUPES activity.
